ISO 9001:2015 · Clause 7.5

ISO 9001 document control software that auditors trust

Every procedure, work instruction and form approved, revised, reviewed and distributed through one portal, with the history an auditor asks for, available in seconds.

What ISO 9001 actually asks for

Clause 7.5 of ISO 9001:2015 requires documented information to be identified, reviewed and approved for suitability, available where it is needed, protected, and controlled for distribution, storage, changes, retention and disposal. Obsolete versions must be prevented from unintended use.

On a shared drive, these controls depend on people. Folders get copied, file names drift from revision numbers, approvals live in e-mail, and printed copies stay on the shop floor long after a revision. Auditors find the gap by asking for one procedure and its history.

The Zefron QMS Portal turns each of these requirements into a step the system enforces. A document cannot be published without its approval chain, every revision is kept with who changed what and why, periodic reviews are reminded automatically, and controlled copies carry a stamp and a register so they can be recalled.

Frequently asked questions

What is document control in ISO 9001?

It is the set of controls in clause 7.5 that make sure the right version of each document is approved, available to the people who need it, protected, and that obsolete versions are not used.

Do we still need a document control procedure?

ISO 9001:2015 does not require a written procedure, but most organisations keep one. The portal enforces the steps, so your procedure becomes shorter and easier to follow.

Can users edit Word and Excel files online?

Yes. Documents can be edited in the browser with the integrated online editor, and the edit becomes a new draft revision that goes through approval.

How are printed copies controlled?

Printed or downloaded copies are stamped as controlled or uncontrolled. Controlled copies are logged in a register and recalled when a new revision is published.

Does it work for ISO 14001, ISO 45001 and ISO 27001 too?

Yes. The same document control applies to any management system standard, and several standards can share one portal.
